We believe in creating a workspace that is welcoming, seamless, and easy to use - for both our members and their guests. Visitors are an important part of how our members collaborate, and we want every visit to be a smooth and positive experience. At the same time, to ensure the safety, comfort, and fair use of the space for everyone, the following guidelines apply to all visitors at TheCircle.Work. 1. Definition of a VisitorA visitor (or guest) is any individual invited into TheCircle.Work by a member for a short duration. This includes clients, candidates, partners, friends, or colleagues who are not onboarded as part of your team. All visitors are expected to adhere to The Circle’s house rules and all applicable policies while on the premises. 2. Access & Check-inAll visitors must be pre-invited through The Circle Application or the member dashboard on www.thecircle.work, and must check in at the reception upon arrival.A Visitor Access Card will be issued, and the visitor must carry this on person, in a visible manner throughout their stay at TheCircle.Visitors will be provided Guest WiFi access at the front desk (if required).Day Pass and Hot Desk users cannot invite visitors to the workspace. Visitors can be accommodated only if the user books a meeting room for the duration of the visit or purchases a Day Pass for the visitor at the prevailing charges applicable at the visiting location within The Circle's network.Members are responsible for their visitors during their time in the space and should ensure appropriate conduct.Visitors must be always escorted by their host 3. Visitor Time GuidelinesVisitors are welcome for short-duration interactions such as meetings, interviews, or discussions. Visitors spending up to 3 hours in total during a day / operating hour are treated as short-duration guests and are not counted towards occupancy. If a visitor’s total time within the premises exceeds 3 hours in a day, the host company will be charged a day pass for that visitor in their monthly invoice 4. Occupancy & BillingTo ensure fairness and consistency, billing is aligned with overall space utilization: All individuals present in the workspace - including onboarded members, non-onboarded team members, and visitors exceeding the 3-hour limit - are considered part of the effective occupancyEach company’s occupancy is compared against its billed seatsIf effective occupancy exceeds billed seats, the excess will be billed as day passes at applicable rates This approach ensures that short visits remain frictionless, while extended usage is accounted for appropriately. 5. Flexibility for TeamsMembers may onboard up to 1.5X of their billed seats as floating members, allowing teams to work flexibly with access cards and WiFi while enabling accurate usage tracking. If certain individuals are regularly using the space beyond short visits, members are encouraged to onboard them or increase their billed seat allocation. 6. Planning & Large Visitor MovementIf you are expecting a higher number of visitors (e.g., recruitment drives, events, or inter-office visits), please inform the Community Team in advance so that we can assist with planning and logistics. 7. Transparency & ReviewA monthly usage summary will be shared with the designated POC. This provides visibility into attendance and visitor activity and helps ensure alignment on space usage. 8. General GuidelinesVisitors must comply with all applicable policies during their visit The Circle reserves the right to restrict or revoke visitor access in case of policy violations or misuseMembers remain responsible for ensuring their visitors adhere to all guidelines For any questions or assistance, please reach out to the Community Team. Printing Policy for Members at TheCircle.Work We are big fans of the green revolution, and a desire to preserve our environment. Every day, we are moving towards having a more sustainable workplace, one that is more energy-efficient and paperless. But we understand and realize that there is a lot of paperwork required to sustain day-to-day operations for any company. To this end, we have enabled all our members to have access to a certain number of credits that are applicable to their printing needs. The number of credits are assigned based on the eligibility of the member, and are allocated as a pool for their entire organization; e.g.. if you have 50 credits (monetary value of 100) eligible per member, then an organization of 10 people be given a collective pool of 500 credits with monetary value of 1000 which they can utilize. If any member takes a printout of a page, then the pool would be reduced based on the type of print given. Utilization of printing credits is based on the table below. The above policy is applicable to Circle members who are part of Dedicated and Private seats plans. No credits will be allocated to those members who are on Hot Desk and Day Pass plans. No credits will be allocated to external members who are booking meeting rooms and event spaces. We have provided shared printer/s on each floor/location and all members have access to them through the Papercut printing software. Our Community Team will help your team get onboarded to print via papercut. Meeting Room Policy for Members at TheCircle.Work Even the most productive teams have regular checkpoints where they get together and get their tactics aligned with their strategy and vision. You need to break-out into meetings or conferences where you hash out yourbest ideas and how you want to set-about achieving those big goals. We at the TheCircle.Work have a variety of spaces for our members to choose, ranging from large fully-serviced boardrooms to informal lounges. Our internal nomenclature for these rooms is rather simple, and you’ll get used to it fairly quickly. There are large rooms (16+ seats) that are termed as Conference/Board Rooms. All the other rooms are classified as Meeting Rooms. We want to make a few salient points so that the usage and allocation of these rooms are fair to all members of our space: Individual members have a fair credit allocation of 1 booking credit per month that in-turn pools for all members of their organization collectively. Each booking credit has a monetary value equal to the hourly price of the smallest capacity meeting room at any of the locations. Please refer to the meeting rooms’ tariff for your respective location. Credits are applicable to all rooms designated as Meeting Rooms, Conference Rooms and Boardrooms. All bookings are treated as an organizational booking and not an individual booking, this means that any member of the organization can book meeting rooms with credits as long as their organization has the credits available. Please let us know if you need exceptions (i.e you do not want for some members in your team to book a meeting room). A completed booking would result in those credits being withdrawn from the organizational account. If the organization’s credits are exhausted, any bookings of meeting spaces will attract charges and will be added to your next invoice. All rescheduling is subject to the availability of the room. Members are requested to vacate the meeting room post their booking time or book additional time for any extensions of use (subject to availability). Any overstay without an extension of the booking will be subject to billing or meeting room credit adjustments. Non-Members who are booking meeting rooms, conference rooms and boardroom are not subject to the credit and fair use policies of TheCircle.Work How to book Meeting Spaces at TheCircle.Work?
