The Front Office and Community Manager is a pivotal role at The Circle, responsible for managing front office operations and enhancing the member experience. This dynamic position requires a proactive individual who excels in customer service, community engagement, and operational management. The ideal candidate is a personable, organized, and resourceful professional with a passion for fostering a positive and collaborative community environment.
Key Responsibilities:
Member Experience: Ensure a superior member experience at the Front Office when members or visitors check into our space.
Brand Representation: Represent our brand and service ethos while acting as the first point of contact for all clients and visitors, providing a professional and friendly service.
Digital Reports Management: Maintain front office digital reports for audit and compliance purposes.
Meeting Room Management: Assist in meeting room management, operations, and other community tasks as assigned.
Member Services: Manage the member service desk, member helpline, emails, and WhatsApp to provide an excellent customer experience.
Member Onboarding: Onboard new members on Nexudus (our space management tool).Policy Guidance: Guide members on all relevant policies and house rules of The Circle.
Visitor Management: Oversee visitor management and daily reporting.
Member Assistance: Assist members in a friendly and professional manner.
Maintenance and Cleanliness: Conduct regular maintenance and cleaning in the front office area.
Qualifications:
Minimum 2 years of experience in a front office or community management role, preferably in a co-working space or hospitality industry.
Proficiency in using space management tools like Nexudus.
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Ability to represent The Circle's brand and values with integrity and professionalism.

Required Qualifications

Sales Generation: Proactively identify and pursue new business opportunities through outbound sales efforts, including cold calling, email outreach, and networking events.
Client Acquisition: Develop and execute sales strategies to acquire new clients and achieve sales targets. Build and maintain a pipeline of prospects and actively pursue leads to convert them into customers.
Proposal and Contract Management: Prepare and present compelling proposals and contracts tailored to the needs of prospective clients. Negotiate terms and conditions to secure new business partnerships.
Sales Tours: Conduct sales tours of our co-working spaces to showcase amenities, features, and benefits to prospective clients. Provide personalized consultations to address client needs and preferences.
Client Relationship Management: Cultivate strong relationships with clients to ensure satisfaction, retention, and loyalty. Act as a trusted advisor and primary point of contact for clients, addressing inquiries and resolving issues promptly.
Market Research: Stay informed about industry trends, market dynamics, and competitor offerings. Conduct market research to identify opportunities for business expansion and differentiation.
Sales Reporting and Analysis: Maintain accurate records of sales activities, client interactions, and revenue performance. Generate regular reports to track sales metrics, identify trends, and evaluate the effectiveness of sales strategies.

E-Invoice Processing: Handle electronic invoicing processes efficiently, ensuring compliance with regulatory requirements and adherence to established protocols.
GST Compliance: Stay updated on GST regulations and requirements, manage GST filings, and ensure compliance with applicable tax laws and regulations.

Surveillance System Maintenance: Monitor and configure surveillance systems to ensure the security and safety of our co-working space, including camera setup and troubleshooting.
Printer Management: Troubleshoot printer issues, configure printer settings, and ensure smooth printing operations for our members.
Access Control and Biometric System Support: Troubleshoot and configure access control and biometric systems to manage entry and exit access for our members.
Network Security: Implement basic network security measures to protect against cyber threats and unauthorized access, including firewall configuration and monitoring.
Operating System Support: Provide troubleshooting and configuration support for operating systems, including Windows 10, 11, Linux, and Windows Server 2013, 2016.
